Terms & Conditions
To secure the booking, we require a signed copy of the terms and conditions to be return by {{document.dueDate}} together with payment as outlined in your invoice.
Final payment for incidental charges incurred throughout the event is due to be paid on departure. A credit card is required to be placed on your file which is to be provided before your arrival. Incidentals are able to be paid by EFT if so desired and are required within 7 days of departure, otherwise the credit card on file will be charged. Please note we are a cashless property.
Cancellation
In the circumstance of the event or accommodation rooms being cancelled or a date change being made, the following terms and conditions will apply:

Between return of the signed agreement and 91 days (inclusive) prior to the arrival date of this booking:
-
Cancelling the entire event will incur a fee that is equal to 10% of the total contracted accommodation cost of the event.
-
Postponing or changing dates at this stage will not incur any penalties.
-
Between 90 and 45 days (inclusive) prior to the arrival date of this booking:
-
Cancelling the entire event, postponing or changing the dates will incur a fee that is equal to 50% of the total contracted accommodation cost of the event.
-
Reducing the number of rooms or number of guests travelling up to 30% of the total contacted numbers will not incur a cancellation fee. Any changes above this will incur a fee that is equal to 50% of the total contracted accommodation cost that is being cancelled.

Less than 45 days prior to the arrival date of this booking:
-
Cancelling the entire event, postponing or changing the dates will incur a fee that is equal to 100% of the total contracted cost of the entire event (including accommodation, food and beverage).
Hotel Refurbishment Notice
The hotel is currently undergoing a full refurbishment in preparation for its reopening. In the event that the hotel, acting reasonably, determines that the completion of such refurbishment works will not occur in sufficient time to allow the hotel to host the client’s booking without material disruption or adverse impact to the standard of services, the following terms and conditions shall apply:

Right to Cancel Without Default
The hotel reserves the right to terminate this contract by providing the client with written notice as soon as reasonably practicable upon forming the view that the refurbishment works will materially affect its ability to fulfil the obligations under this contract. In such circumstances, the hotel shall refund any deposits or other prepayments made by the client under this contract within fourteen (14) days of the date of cancellation notice. Such cancellation shall not constitute a breach or default by the hotel, and to the maximum extent permitted by law, the client acknowledges and agrees that, aside from the refund of deposits or prepayments, it shall have no entitlement to any further claim, loss, damages, or compensation arising out of or in connection with the cancellation.

Reasonable Assistance with Alternative Arrangement
Where cancellation occurs in accordance with the above, the hotel will use reasonable endeavours to assist the client in securing alternative accommodation and/or event space at a venue operated by Salter Brothers Hospitality or a Third Party, located within a reasonable proximity to the hotel. The hotel does not warrant the availability, suitability, or cost of such alternative arrangements, and accepts no liability in relation thereto.
In the event of postponing or changing dates, the event must take place within 12 months of the original date. The retreat reserves the right to amend the contract pricing and terms should the new date fall within a new pricing period. We will advise you of when the new pricing period commences at the time of your postponement or date change.
Cancellation of any third-party services
Where third-party services are organised on behalf of the Client, which are non-refundable under the third party's terms, you will not be eligible for a refund for cancellation of those services. Where the third party applies cancellation fees you are responsible for payment of the fees.
Amendments
Amendments to these agreements shall only be valid if made in writing and signed by Ardour Milton Park Bowral. The waiver of any terms and conditions for one particular occasion shall not be deemed a waiver of such terms and conditions of any future occasions.
Confirmation of Information
At 30 days prior to arrival, final arrangements including final room list, menus, specialist events and additional activities must be confirmed. If these items are not received, we reserve the right to select and finalize options on your behalf. Where options are finalised on your behalf, we will use reasonable efforts to ensure the finalised options are selected from your shortlist notified to us or as otherwise discussed with you prior to the Confirmation Date, and that the cost of the finalised options does not exceed your budget notified to us. Menus and beverage options are subject to change, and we will advise you as soon as possible if a change is necessary and work with you to select alternative options.
Rooms & Spaces
Accommodation rooms and room types will be allocated according to availability and the size of the group. Check in time is from 3pm on the day of arrival. Guests are requested to check out of their rooms by 11am on the day of departure. In all cases, the property reserves the right to alter meeting room/event space assignments based on the most appropriate and efficient space utilization, and we will advise you as soon as possible if a change is necessary and work with you to select alternative options.
Retreat Grounds
As a commercial property, we are required to operationally upkeep and maintain plant and equipment, including (but not limited to) septic systems, water tanks and filtration systems, as well as the grounds and any structures on the property. The retreat reserves the right to perform maintenance, renovations and improvements. All efforts and consideration will be given to ensure the visual and aesthetic appeal of the property.
Security
Should your guest numbers exceed our recommended capacity; security may be required. Additional costs will apply if this is required for your event. We will advise you of the additional costs at the time we become aware that your guest numbers exceed our recommended capacity You may choose to reduce your guest numbers below our recommended capacity at that time.
Provision of goods & services
All deliveries to Ardour Milton Park Bowral must be advised to the event coordinator prior to the delivery. Deliveries and external service provider equipment and materials must be delivered to and stored in the area / room blocked. Ardour Milton Park Bowral will not transport goods, equipment and/or materials left on the loading bay and will not be responsible for any damage or loss sustained. Items remaining after the event, without prior written arrangements, will be deemed abandoned. Services including external suppliers such as florists, styling companies and/or activity providers need to confirm access time to the retreat directly with the event coordinator.
Sustainability
As part of our ongoing efforts to head towards a zero-waste future, Ardour Milton Park Bowral proudly supports ‘The Last Straw’ initiative to tackle mass produced plastic across Australia. As such, drinks will not be served with straws. Should you or your guests require a straw for medical reasons, a paper straw will be provided. Due to our ongoing commitment to reduce our impact on the environment, please note that we cannot allow any balloons on the property, including balloon arches, decorations or balloon releases.
Noise
Our hotel licensing regulations and neighbour agreements allows for outdoor and indoor music until a certain time. Depending on the style of your event, the events coordinator will communicate the applicable times with you. Any guests not staying overnight at the property are required to vacate at a certain time. As taxis and Ubers are scarce in some areas, we recommend you organise transport in advance for guests staying off site or returning home.
Licensing
Ardour Milton Park Bowral practices Responsible Service of Alcohol, as specified in the Liquor Act 1992 (Queensland locations) and Liquor Act 2007 (New South Wales locations). We reserve the right to cease the service of alcohol in line with the above act. In addition to this act, we are licensed to serve alcohol between certain times of the day. Depending on the style of your event, the events coordinator will communicate the applicable times with you. All beverages are supplied by Ardour Milton Park Bowral and no BYO (bring your own) is permitted for your event. Please be aware that all beverage selections are subject to change, and we will advise you as soon as possible if a change is necessary and work with you to select alternative options.
Unforeseen circumstances
The management reserves the right to amend menu costings, cancel any booking and refund any deposits paid without notice at any time, in the event of inability to comply with any of the provisions of the contract by virtue of any cessation of electric, gas or telecommunications supplies, industrial disputes, plant or equipment failure, unavailability of food stuffs or any other inevitable accident or unforeseen contingency including acts of God, pandemic, epidemic, quarantine restriction, government direction, lightning strikes, earthquakes, floors, storms, explosions, fires and any natural disaster, acts of public enemies, terrorism, riots, civil commotion, malicious damage, sabotage, revolution and acts of war, general strikes, embargo and power, water or other utility shortage. Due to unforeseen circumstances, should the rooms/ spaces reserved be unavailable, the property reserves the right to substitute similar or comparable venues. Every effort will be made to advise the Clients in advance and work with you to select alternative options.
Liability
The person(s)/company(s) listed above (Client Details) shall be liable in full for all costs, charges and fees raised as a result of or in connection with the terms of this contract and the event to which it relates. Client agrees they accept this responsibility and have capacity to understand the terms of this contract and have authority to sign. The Client agrees to provide or source payment for any accounts of conference delegates that may be outstanding after the conference. This includes cancellations of rooms/meals that have been designated the responsibility of delegates to settle or any booked person accompanying a delegate during the conference and booked via the conference organiser. The Client will be liable for the cost of any damage incurred at the venue, or in the grounds of the venue, caused by the Client, their guests, invitees, or external service providers. Ardour Milton Park Bowral reserves the right to immediately conclude the function in the case of alcohol or illicit substance abuse by the Client or their guests, invitees, or external service providers or if any person behaves in a manner that poses a threat to the health, including psychological, to any member of staff, or behaves in a way that is otherwise deemed unacceptable by Ardour Milton Park Bowral.
Loss & Damage
The Client shall remain responsible at all times for any loss or damage to Ardour Milton Park Bowral caused by the Client, or their guests, invitees, and external service providers. We take all reasonable steps when looking after you, your guests, invitees, external service providers and their belongings. Unfortunately, we cannot take responsibility for the damage or loss of items by you, your guests, invitees, or external service providers before, during and after a function.
Indemnity
The Client indemnifies Ardour Milton Park Bowral against all loss or damage (including legal costs) incurred or suffered by Ardour Milton Park Bowral in connection with a breach by the Client of its obligations under this agreement, or any act or omission by the Client, any guest, invitee, or external service provider.
Insurance
We suggest insurance cover be taken out to protect from any financial loss or damage not covered within your contract with the venue.
Severability
This contract shall remain in full force and effect irrespective of the granting of any indulgence of time or in any other capacity whatsoever by the management of the property.
Trade & Leisure

Reducing the number of rooms or number of guests travelling up to 30% of the total contacted numbers will not incur a cancellation fee. Any changes above this will incur a fee that is equal to 50% of the total contracted accommodation cost that is being cancelled.

Weddings

Cancellation and postponement schedule
Between return of the signed agreement and 121 days prior to arrival:

A non-refundable fee of 10% of the total accommodation and event cost will apply if the event is cancelled.

Postponing or changing dates will not incur any fees. The 10% will be held as a credit towards a new wedding date.
Between 120 and 91 days prior to arrival (inclusive):

25% of the total accommodation and event cost will apply if the event is cancelled, postponed or in the event of a date change.

Reducing the number of guests and/or accommodation rooms up to 10% of the total contracted accommodation and event cost will not incur a fee. Funds paid will be treated as a credit towards additional purchases during the event, and will not be refunded. Any changes above this will incur a fee of 25% of the total accommodation and event cost.
Between 90 and 61 days prior to arrival (inclusive):

50% of the total accommodation and event cost will apply if the event is cancelled, postponed or in the event of a date change.

Reducing the number of guests and/or accommodation rooms up to 10% of the total contracted accommodation and event cost will not incur a fee. Funds paid will be treated as a credit towards additional purchases during the event, and will not be refunded. Any changes above this will incur a fee of 50% of the total accommodation and event cost.
Less than 60 days prior to arrival (inclusive)

100% of the total accommodation and event cost will apply if the event is cancelled or postponed.

Up to 31 days prior to arrival, reducing the number of guests and/or accommodation rooms up to 10% of the total contracted accommodation and event cost will not incur a fee. Funds paid will be treated as a credit towards additional purchases during the event, and will not be refunded. Any changes above this will incur a fee of 100% of the total accommodation and event cost.

Cancellation of any third party services
Cancellation of any third-party services, entered into by the retreat on behalf of the undersigned will be charged a 50% cancellation fee of total cost 90-61 days (inclusive), and 100% cancellation fee less than 60 days prior to the arrival date (inclusive).
Confirmation of information
All information must be confirmed and finalized 30 days prior to the wedding. This includes:

Accommodation details including rooming allocation list, guest names, room configurations, additional bedding etc.
-
Final event details including timings, guest numbers, menus, dietary requirements, seating arrangements, setup requirements, specialist suppliers, additional activities etc.
Final event order to be signed and returned to the wedding coordinator by 21 days prior to the wedding.
If the information is not received by the due dates above, we reserve the right to select and finalize options on your behalf. All information must be advised in writing to the wedding coordinator via the event documents provided.
Your menu will be provided to you in time for your 3-month meeting with your wedding coordinator. Menus and seating arrangements must be confirmed with the retreat in writing before printing final copies through an external company.
Amendments
Amendments to these agreements shall only be valid if made in writing and signed by Milton Park Country House Hotel & Spa. The waiver of any terms and conditions for one particular occasion shall not be deemed a waiver of such terms and conditions of any future occasions.
Accommodation

All accommodation rooms must be requested at the time of contract to secure the wedding group rate and wedding block.

Accommodation bookings may be paid for by the wedding couple, or by individual guests.

Minimum room requirements as outlined in the wedding costings overview must be reached and paid for. If not reached, the rooms not booked will be charged to the master account of the wedding couple.
Check in and check out time
Guests may check-in to their rooms from 3pm on the day of arrival. Requests for early check-in will be accommodated where possible but are not guaranteed. Checkout time is at 11am on the day of departure. Later checkout may be accommodated where possible at an additional charge.
Function spaces
The retreat reserves the right to change the nominated ceremony location, pre-reception location and reception location from that listed in the contract schedule due to unforeseen incidents (for example fire or flood).
Retreat grounds
As a commercial property, we are required to operationally upkeep and maintain plant and equipment, including (but not limited to) septic systems, water tanks and filtration systems, as well as the grounds of the property including (but not limited to) lawns, trees, gardens, pathways and roads. The retreat reserves the right to perform regular maintenance of the property including, but not limited to gardens, lawn, trees, plant and equipment. This maintenance may involve cut back, pruning or removal of plants or trees should it not be deemed safe to keep, or advised by external parties that removal is required. All maintenance will be scheduled around our events to minimise noise and other impacts, however emergency works may need to occur within these periods and clients will be advised as soon as possible. All efforts and consideration will be given to ensure the visual and aesthetic appeal of the property.
Security
Should your guest numbers exceed 100, security may be required. Additional costs will apply if this is required for your event.
Provision of goods and services
All deliveries to Milton Park Country House Hotel & Spa must be advised to the wedding coordinator prior to the delivery and must be delivered to the area / room blocked. Milton Park Country House Hotel & Spa will not transport goods, equipment and/or materials left on the loading bay and will not be responsible for any damage or loss sustained. Items remaining after the event, without prior written arrangements, will be deemed abandoned. Services including external suppliers such as florists and/or styling companies need to confirm access time to the retreat directly with the wedding coordinator.
Sustainability
As part of our ongoing efforts to head towards a zero-waste future, Milton Park Country House Hotel & Spa proudly supports ‘The Last Straw’ initiative to tackle mass produced plastic across Australia. As such, drinks will not be served with straws. Should you or your guests require a straw for medical reasons, a paper straw will be provided. Due to our ongoing commitment to reduce our impact on the environment, please note that we cannot allow any balloons on the property, including balloon arches, decorations or balloon releases. Confetti may only be used in the way of fresh or dried rose petals outside, following the conclusion of your ceremony. Confetti or glitter of any kind, including biodegradable, is not permitted on the property.
Noise
Our hotel licensing regulations and neighbour agreements allows for outdoor music until (retreat to update) and any indoor music until (retreat to update). Any wedding guests not staying overnight at the property are required to vacate no later than (retreat to update). As taxis and Ubers are scarce in the area, we recommend you organise transport in advance for guests staying off site or returning home.
Unforseen circumstances
In the event of inability to comply with any of the provisions of this contract by virtue of any cessation or interruption of electricity or gas supplies, industry disputes, plant or equipment failure, unavailability of food items, other unforeseen contingency or accident Milton Park Country House Hotel & Spa reserves the right to cancel any booking and refund any deposit without notice of any time.
Licensing
Milton Park Country House Hotel & Spa practices Responsible Service of Alcohol, as specified in the Liquor Control Reform Act 1998. We reserve the right to cease the service of alcohol in line with the above act. In addition to this act, we are licensed to serve alcohol from (retreat to update) until (retreat to update). All beverages are supplied by Milton Park Country House Hotel & Spa and no BYO (bring your own) is permitted for your event. Please be aware that all beverage selections are subject to change.
Loss and damage
The client shall remain responsible at all times for any loss or damage to Milton Park Country House Hotel & Spa caused by the client, guests and invitees. We are extremely careful when looking after guests and their belongings. Unfortunately, we cannot take responsibility for the damage or loss of items before, during and after a function.
Liability

The person/s who has signed this contract will be liable for the cost of any damage incurred at the venue, or in the grounds of the venue during the function. Milton Park Country House Hotel & Spa reserves the right to immediately conclude the function in the case of alcohol or illicit substance abuse by guests, or if any member of your party behaves in a manner that poses a threat to the health, including psychological, to any member of staff.

The person/s who has signed this contract will be liable in full for all costs, charges and fees as a result of or in connection with the terms of this contract and the event to which it relates. By signing this contact, the person/s signing this contract agree that they accept this responsibility and have capacity to understand the terms of this contract and have authority to sign.

The retreat shall not be responsible for any missing or damaged items brought by the wedding couple/guests onto the property.
Insurance
We suggest insurance cover be taken out to protect from any financial loss or damage not covered within your contract with the venue.
Severability
This contract shall remain in full force and effect irrespective of the granting of any indulgence of time or in any other capacity whatsoever by the management of the property.
